Student Chapter Grant Application

Policy on Awarding Grants to University Chapters

Chapter Policy: EWB-CPC is committed to supporting our student chapters. We will also try to support other student chapters in the Great Lakes Region who have projects within communities associated with EWB-CPC. We target 40% of our non-designated money to student chapters, via the following procedures.

1)  We will solicit RFPs via the attached grant application form and use that as the main (but not only) criterion upon which to judge whether, and how much, we fund a project.

2)  The student chapter can use the money for any aspect of the project that EWB-USA would normally reimburse for, including travel.  The award must be used for project work and not general chapter expenses, including travel to EWB conferences.  The award should be used for not more than 50% of total project costs.  We would like the award to be used for assessment trips.

3)  We give out nominally $2000 per calendar year per chapter.  If the applying student chapter has a very compelling project, we can increase the amount up to $5000 maximum.  If the application is weak, we may decrease the award below $2000.  We may deny the award completely if the project does not demonstrate readiness or sufficient planning.

4)  We will grade a grant application and commit the funds, if awarded, whether the project has TAC approval or not, but we will not transfer money until TAC approval is given.

5)  Grants are awarded on a first-come, first-served basis.  We will accept grant applications at all times, but will evaluate applications every three months and only award grants in April and October.

6)  The chair of the University Committee (UC) will be responsible for administering and grading all grant applications; the UC chair shall work as closely as possible with the liaison for the student chapter.  The UC chair will provide copies of the grant application to the executive committee.  The UC chair will then make a recommendation to the executive committee, who will grade and vote on awarding the grant.  The executive committee may ask the UC chair for clarification or additional information.

7) Grant requirements:  The student chapter will be required to submit a copy of the project’s EWB form 507.  The chapter will also be required to give a verbal report on the results of the trip, either by phone or in person to the UC chair or EWB-CPC president or vice-president.  Reports will be given at the EWB-CPC monthly chapter meeting.  If these requirements are not met, future grant applications may not be looked upon favorably.

8) On a case-by-case basis, EWB-CPC will also provide funds in support of student chapter fundraisers. These funds will be approved by the executive committee.
